Bookings come in on WhatsApp and land on each physio's list.

The desk books the visit

Reply to the patient as you do now, then put the visit on the schedule: the patient, the physio, the time, and where it happens. That can be the clinic, the patient's home or online.

A new patient can fill in their own details from a link or a QR code on their phone. The desk checks them before they're saved, and Stator gives the patient the clinic's next patient number.

The patient arrives

The desk checks the patient in, and they move onto the physio's My day list. The physio also sees any note the head physio has sent back.

Each clinic sets its own working hours, so early and late sessions fit on the schedule.

More about scheduling

A full evaluation on the first visit, a short daily note after.

An approved Initial Evaluation note, with the complaint, objective assessment, outcome measures and treatment plan

First visit

A first visit opens as an Initial Evaluation, with a box for each part: complaint, objective assessment, clinical impression, treatment plan, intervention, frequency and recommendation. Later visits use the daily note, with subjective, objective, intervention today, assessment and plan.

A reassessment note with the first evaluation's LEFS score and knee flexion above today's

Reassessment

Record LEFS, KOOS, Oxford Knee, Berg or TUG on any visit. At reassessment, the first evaluation's scores sit at the top of the note, so the change is on the screen when you talk it through with the patient. Scan reports and referral letters go in the patient's Documents tab.

A new daily note on a phone, carried from the last visit, with last visit's subjective shown underneath for reference and a Copy in link

Start from last visit

A new daily note can start from the last visit, or blank. Today's treatment and the plan come across ready to edit. The patient's report, the findings and the assessment from last time sit underneath each box, and the physio copies them in only when they still apply.

More about clinical notes

A home visit, recorded on the physio's phone.

The desk books it with the location set to Home visit, and writes the address the way a driver would need it, with the area and a landmark. Under the visit, the physio sees the address, a Call button and Open in Maps. Only the desk, the admin (owner), the head physio and the physio booked for that visit can see the address.

  1. 1. Time in at the door

At the house, the physio opens the visit and taps Time in. The attendance card at the top of the note shows where the visit is and when it started.

  2. 2. The patient signs

The patient signs on the physio's phone. Then the physio treats them and writes the note in the same boxes as a clinic visit.

The patient's signature drawn on the physio's phone
  3. 3. Time out, and the next visit

Before leaving, the physio taps Time out and signs. Book next visit opens the schedule a week ahead, with the patient and Home visit already filled in.

The attendance card with the time out, the physio's signature and the Book next visit button

The patient gets an email the day before, and another an hour before saying the physio is on the way. A home visit still missing its time out or a signature after 24 hours shows on the owner's compliance report.

Video sessions go on the same schedule.

Book a video session like any other visit, with the location set to Virtual, and the reminder emails tell the patient it's online. The call runs on the tool you use today, and Stator keeps the booking and the note. The physio writes that note the same way as after a clinic visit.

More about home visits

The bills come from the visits, at your own prices.

Physios log what they did on each visit, but they never see prices or take money. Whoever handles the money does the bills, from the clinic's own price list.

  1. 1. The desk bills the day

Before closing, the desk opens Visits not yet billed, ticks the visits and generates the invoices.

    1. Every visit that has happened and has no invoice yet
    2. Tick them and generate the invoices, one per patient

  2. 2. Payments, part payments too

Record a cash, transfer or POS payment, part payments included, and the receipt number is added for you. The invoice shows what's still due.

  3. 3. The receipt

The receipt goes by email when the patient has an email address. The desk can also share it on WhatsApp or print it. A WhatsApp receipt carries the amounts paid, never the treatment.

HMO patients

Add each HMO with its coverage, and an HMO patient's invoice splits into what the scheme covers and what the patient owes. The claims page shows what each HMO owes. Mark a claim paid when the money comes in, and export each month's claims for the HMO (in beta).

More about billing and HMO claims

Patients get their own app, in their phone's browser.

Appointments and bills

A patient gets a personal sign-in link by email, or the desk sends it to them on WhatsApp. They see their appointments and their bills.

After paying by transfer, they tap I've paid and enter the reference, and the desk confirms it after checking the bank app. Bills and payments is marked (beta) in the app.

Home exercises

The physio picks exercises from the library and prescribes a programme. It shows in the patient's app with videos and the physio's dosage notes.

Patients can also ask for their records to be sent to them, a doctor or their insurer. By default, their clinical notes stay with the clinic.

Family access

A family member can have their own sign-in to a patient's app, with the patient's consent. The clinic adds them and records how the patient agreed, and the patient can remove them. Family members see appointments and bills only, unless the desk gives full access on purpose.

Messages to the clinic

Patients can send the clinic a message from the app. Messaging is off until an admin switches it on and sets how soon the clinic replies, and the patient sees that promise with a note to call the clinic in an emergency.

The email that tells a patient a reply is waiting never carries the message itself.

The dashboard counts money received, the outstanding balance and unpaid invoices. Write-offs never count as revenue, and a billing mistake is voided with a reason instead of deleted.

Notes the head physio approves

If the clinic wants it, the head physio approves every note or sends it back with a comment. A note changed after approval is marked as edited and comes back for approval.

The compliance report, with late daily notes logged as points and two home visits still missing a time out or a signature

Late notes and open home visits

The compliance report counts points for late notes and lists home visits still missing a time out or a signature after 24 hours. Each staff member sees their own points and can acknowledge or dispute an incident within 7 days. The admin or the head physio decides, and nobody decides their own.

The staff handbook goes in Stator too: write it there or upload a PDF, and see who has read and acknowledged each version.

More about what the owner sees

From the first call to your first patient.

  1. Day 1

    A walkthrough

We show you Stator on a demo clinic, on a call or at your clinic, using the kinds of visits you run. Bring the head physio and whoever runs the front desk, because they'll use it most.

  2. Week 1

    Your clinic, set up

We set up your clinic's name, logo, colours and contact details, which show in the app, on receipts and in emails. Your price list, visit types and staff logins go in at the same time. Your clinic gets its own address on statorhealth.com, or uses its own domain if it has one.

Each role gets a short printed guide: one for the front desk, one for the physios, one for the head physio and owner, and a one-page handout for patients. Before you start, we take the team through one made-up patient from booking to receipt.

  3. From then on

    Your paper files

Your paper files stay where they are. Each patient goes into Stator the first time they're booked, and the physio writes a short history in their first note.

The branding settings, with the clinic's display name, tagline, brand colour and contact details

Your patients' records, and who can see them.

  • Every clinic has its own space

Each clinic's records are kept apart in the database itself, so one clinic's staff can't see another clinic's patients.

  • Everyone signs in as themselves

Each staff member has their own login and a role: admin, head physio, physio, front desk or accountant. Every note and every payment carries the name of the person who recorded it, and when someone leaves, the admin locks their account.

  • Backups are encrypted

The database is backed up every night. Each backup is encrypted before it's written, and encrypted copies are kept for 90 days.

  • Addresses stay with the visit

A patient's home address shows only to the desk, the admin (owner), the head physio and the physio booked for that visit. WhatsApp receipts carry the amounts paid, never the treatment.

Talk to us.

Tell us how many physios and branches you have and how you keep records today. We'll tell you what Stator costs for your clinic and what the set-up includes.

Before you book a walkthrough.

Do my staff need to install anything?

No. Stator works in the browser on a phone, a tablet or a computer, and the patient app does too. Physios write notes on their phones, and the desk and the owner can bill, record payments and check reports from a phone.

What happens to our paper files?

They stay as they are. Each patient goes into Stator the first time they're booked, and the physio writes a short history from the paper file in their first note. You don't need to copy the files across before you start.

What if there's no network at a patient's home?

Stator needs internet. The physio writes the note as soon as they're back online, the same day, and the home visit stays on the compliance report until the time out and signatures are in.

Who sees a patient's details, and who checks the notes?

Staff see what their role needs. Physios never see prices, and a home address shows only to the desk, the admin (owner), the head physio and the physio booked for that visit. Every note and payment carries the name of whoever recorded it.

If the clinic wants it, the head physio approves every note or sends it back with a comment. A note changed after approval is marked as edited.

Can we run video sessions in Stator?

You book them in Stator with the location set to Virtual, and the physio writes the note there. The call itself runs on the tool you already use, and the desk sends the link on WhatsApp.

Can we use it for HMO patients?

Yes. Add each HMO with its coverage, and invoices split into what the scheme covers and what the patient owes. The claims page shows what each HMO owes, and you can export each month's claims for the HMO (in beta).

Can we download our records?

Yes. With the CSV export (in beta), the admin can download patients, visits, invoices, payments and appointments at any time.

How does the owner keep track of the money?

The owner's dashboard counts money received, the outstanding balance and unpaid invoices. A billing mistake is voided with a reason, never deleted. Card payments at the desk go through the clinic's POS and are recorded in Stator the same way as cash.
