Compliance and the handbook
The compliance rules, incidents and points, how staff acknowledge or dispute them, home visits left open, and the staff handbook with read receipts.
The compliance report shows the owner and the head physio what's late or left open: notes written late, home visits missing a time out or a signature, and any incident logged against a rule. The staff handbook lives in Stator too, with a record of who has read each version.

The rules (admin)
Settings → Compliance rules holds what counts as an incident. Each rule can be on or off, with its own points, a grace period, and a fine only if the clinic uses fines. The built-in rules are:
- a late daily note;
- a late evaluation;
- a home programme not sent to the patient;
- a note submitted unchanged.
You can add your own rules too, and say which roles each applies to.
The same page holds two note settings: whether the head physio approves every note, and how Start from last visit works.
Incidents
- Stator checks for late notes, home programmes not sent and unchanged notes by itself, and logs each one against its rule.
- The admin, the head physio or the front desk can log any other incident, from Log an incident on the Dashboard.
- Nobody can log or decide an incident about themselves.
Acknowledge or dispute
- Each staff member sees their own incidents and points under My compliance.
- They acknowledge each one, or dispute it, within 7 days. One left without an answer counts as acknowledged.
- Disputes go to the admin and the head physio, who decide. The admin can also waive an incident.
Home visits left open
A home visit still missing its time out, the patient's signature or the physio's signature 24 hours after the visit shows on the compliance report until it's complete.
The report
Compliance shows the month's incidents, points and late notes for each staff member, and exports as a spreadsheet. The admin and the head physio see all of it. The accountant sees the totals.
The staff handbook
- Go to Settings → Handbook & policies.
- Add a handbook, a policy or a guide. Write it in Stator, or upload a PDF of up to 10 MB.
- Choose which roles it applies to, and publish it.
Each time you publish, Stator makes a new version and asks the staff it applies to to read it. They see a banner until they click I have read and understood. You see how many have acknowledged each version, and Remind nudges the rest.
Everyone, including the accountant, can open the Handbook from the menu.
