Moving from another system

How records come across from paper files or from another records system, and what to expect on your first day.

How your records come into Stator depends on where they are today. Paper files stay where they are. Records in another system come across only as far as that system can export them, and we agree what comes across with you before you start.

From paper files

You don't copy the files across before you start.

  1. Each patient is registered in Stator the first time they're booked after you start. The desk fills in their details as for any new patient.
  2. In that patient's first note, the physio writes a short history from the paper file: the main condition, when treatment started, the sessions so far, the current goals, and any allergies or precautions.
  3. The paper file stays at the clinic for reference.

Patients you don't see again stay on paper, and that's fine.

From another system

  1. Find out what it can export. Most systems can download patients, and some can download visits, notes or bills, usually as spreadsheets. Send us a sample export, or show us the screens on the walkthrough.
  2. Agree what comes across. We look at the export with you and agree what moves into Stator and what stays behind.
  3. We move it, and you check it. Before you start, look up a handful of patients you know well and check their details.

What has come across in past moves:

  • patient details, with each patient's old number kept beside their new Stator number;
  • bills that were still open, so the desk can collect them in Stator;
  • each patient's history, as a note on their record.

What can move depends on what your current system exports. Anything it can't export stays in the old system.

Your first day

  • New bookings, visits, notes and payments all go into Stator from the first day.
  • Each new patient gets the clinic's next patient number automatically.
  • If two records turn up for the same person, the desk tells the admin. Nobody creates a third.
